Job Description

As the Office & People Coordinator (m/w/d), you ensure the smooth running of the office and provide administrative support to the People & Culture organization. You are the central contact person for everything related to office, equipment, and organization, ensuring reliable internal processes. You work closely with two People & Culture Managers (Janina & Anja) and handle tasks that require precision, organizational talent, and a good sense for people. Although remote-friendly culture is practiced, you are regularly in the office (about 1–2 days per week) to ensure on-site operations and provide flexible support when your presence is required for important matters.
Office & People Coordinator (m/w/d) responsibilities include maintaining office operations (mail, orders, supplier contacts, services, access, and general organizational topics), independently planning and organizing internal events (team and offsite events, summer and winter parties, and smaller People & Culture formats) with budget, location, service providers, communication, and smooth execution on the day, administratively supporting the maintenance of employee data in Personio and Notion, document creation, contract and change requests support, travel bookings for employees when needed, preparing equipment, welcome packages, and documents for new colleagues and accompanying onboarding processes, supporting People & Culture with surveys and internal initiatives, assisting with invoice processing, approvals, and filing in close coordination with Finance, and taking on smaller projects and operational tasks when short-term support is needed.

Requirements

Completed commercial training or comparable qualification.
1–3 years of experience in office, HR, or team assistance, preferably in a growing company.
High reliability, accuracy, and organizational skills.
Enjoy routine tasks and structured work with clear priorities.
Proficient with MS Office; experience with People Tools (Personio) is an advantage.
Very good German language skills, good English language skills.
