About the role
The CEO Office is looking for an Executive Assistant to support the CEO, Chief of Staff, and director level at Recare. This role is evenly split across two responsibility areas and offers the opportunity to build a generalist profile, collaborate closely with the top management, and gain interdisciplinary insights across all departments.

Responsibility Area 1: Administrative ownership of the CEO Office (approx. 50%)

Direct support of the CEO
  • Complete calendar and appointment management
  • Planning and organization of business trips
  • Coordination of external appointments and events with the Marketing team
  • Taking on smaller operational tasks (research, document creation, external communication)
Strategic support of the Chief of Staff / authorized officer
  • Operational support for strategic projects, management formats, goal tracking, and decision-making processes
  • Support for communication initiatives (e.g., All-Hands meetings), and preparation and follow-up of management meetings
  • Maintenance and quality assurance of central knowledge databases (Notion) and contract databases (Contract Hero) in collaboration with the General Counsel
  • Planning and execution of management events ("Admin Weeks", management retreats, etc.)

Responsibility Area 2: Administrative & operational support for Director-level and organization (approx. 50%)

Support for the leadership team
  • Administrative support for the four directors (Product, Tech, Revenue & Growth, Finance) in daily business
  • Organization of team events, sprints, and cross-departmental initiatives (Note: Not a classic secretarial role – directors manage their calendars themselves. Leadership formats and strategic initiatives are centrally organized and quality assured by you.)
Company-wide administrative coordination
  • Point of contact for CEO and Chief of Staff availability and organizational coordination across the company

Requirements

  • Experience managing complex calendars and travel planning

Language skills
  • Fluent German
  • Very good English
Practical requirements
  • Remote-capable working style
  • Willingness to temporarily take strategic responsibility during the Chief of Staff's parental leave
  • Availability for a timely start
  • Digital affinity and natural use of G-Suite, Slack, and Notion (commonly used tools at the company)
