The Role
We are seeking an experienced Executive Assistant to provide dedicated support to our CEO and Executive Team. This role requires a proactive, detail-oriented professional with exceptional organizational skills and the ability to handle sensitive information with discretion and confidentiality. The Executive Assistant will manage schedules, coordinate travel, and facilitate seamless communication within and outside the organization.
Responsibilities
- Manage the CEO's complex and dynamic calendar, including scheduling meetings, appointments, and conference calls
- Arrange and coordinate domestic and international travel itineraries, accommodations, and logistics for the CEO
- Act as the primary point of contact for the CEO, screening and prioritizing emails, phone calls, and other correspondence
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO
- Assist in preparing agendas, materials, and presentations for meetings attended or led by the CEO
- Conduct research and compile information as needed for various projects and initiatives
- Handle confidential information with discretion and maintain strict confidentiality at all times
- Anticipate the CEO's needs and proactively provide administrative support to enhance efficiency
- Partner with IT to ensure all technology and software used by the CEO is up to date and working appropriately
- Coordinate special projects and events as assigned by the CEO, ensuring deadlines and deliverables are met
Qualifications
- Minimum of 5 years of experience as an Executive Assistant supporting C-level executives, preferably in technology or fast-paced startup environments
- Proven ability to manage complex calendars, coordinate extensive travel arrangements, and handle multiple priorities effectively
- High level of integrity, professionalism, trustworthiness, and discretion in dealing with confidential information
- Exceptional organizational skills and strong attention to detail
- Excellent verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Ability to work independently with minimal supervision, as well as collaboratively in a team environment
- Strong problem-solving skills and the ability to anticipate needs and proactively address issues
- Bachelor's degree or equivalent experience preferred
Location, Schedule & Travel
This is a hybrid role based in San Francisco with an expectation of in-office presence at least two days per week. Occasional additional days may be required during key periods (for example, board meetings or executive planning sessions).

Perks & Compensation
Joining Arine offers dynamic learning and growth prospects, working closely with experienced clinicians, engineers, software architects, and digital health entrepreneurs. The posted salary range for this position is $100,000-115,000 per year (this range does not include other potential components of compensation such as bonus or equity).
Other Information
Ability to pass a background check is required. Candidates must live in and be eligible to work in the United States. All staff at Arine participate in its Information Security Management Program and must complete periodic training on Information Security Awareness and HIPAA guidelines.
