Overview

We are seeking a mid-level HubSpot Administrator to own and continuously improve our HubSpot instance across a fast-growing, evolving organization, working closely with Marketing, Sales, and Customer Success team members for their daily operating needs. This role is hands-on and execution-focused, with primary accountability for HubSpot administration, configuration, automation, and reporting, and a key member in the company’s evolving data-driven approach to solving problems proactively.

About the Role

The HubSpot Administrator is a builder, hands-on doer, and thought partner who will develop a newly implemented HubSpot instance to balance daily operations with future scale and maturation. You’ll collaborate with Marketing, Sales, Customer Success, Legal, and Finance to evolve HubSpot into a system teams trust and rely on for clean data, frictionless processes, and reliable reporting. Reporting directly to the P/COO, this role operates with autonomy, identifying needs and proposing scalable solutions.

Key Responsibilities

HubSpot Administration & System Ownership
  • Serve as the primary owner and administrator of HubSpot, supporting Marketing, Sales, Customer Success, Legal, and Finance.
  • Build, iterate, and continuously improve a newly implemented HubSpot instance to scale with the business and meet user needs.
  • Configure objects, properties, pipelines, lifecycle stages, permissions, and integrations to support evolving workflows.
  • Maintain system hygiene, data quality, de-duplication of records, and documentation to ensure long-term usability and consistency.
Reporting & Dashboards
  • Build and maintain dashboards and reports for Marketing, Sales leadership, Customer Success, and Finance.
  • Partner with RevOps to ensure reporting supports revenue visibility, quota tracking, activity tracking, exceptions reporting, forecasting inputs, and funnel performance analysis.
  • Ensure HubSpot data is structured to support reliable reporting across the full customer lifecycle.
  • Proactively identify reporting gaps and recommend improvements to data capture or workflow design.
  • Advise on future build of data operations and revenue operations, including cross-collaboration with other key team members.
Stakeholder Partnership & Requirements Discovery
  • Become a centralized source of trusted data, using HubSpot as the key repository and bringing the organization’s evolving data and revenue operations strategy to life.
  • Partner with stakeholders to articulate business needs, underlying problems, and desired outcomes.
  • Translate ambiguous or competing requirements into well-designed HubSpot solutions.
  • Negotiate tradeoffs and create thoughtful end-to-end workflows.
  • Clearly communicate system impacts, constraints, and recommended approaches to non-technical stakeholders.
Automation & Workflow Optimization
  • Design and implement HubSpot automations focused on reducing manual entry, minimizing human error, and improving throughput across teams.
  • Identify opportunities to streamline lead management, deal progression, customer handoffs, and post-sale workflows.
  • Ensure automations reinforce consistent processes without creating unnecessary complexity or brittleness.

Qualifications

  • 3–7 years of experience administering and optimizing HubSpot in a production environment.
  • Strong hands-on experience with HubSpot configuration, workflows, automation, and reporting.
  • Experience supporting multiple stakeholder groups (Marketing, Sales, Customer Success, Finance) within a single CRM instance.
  • Demonstrated ability to operate in a lean environment with minimal process, high autonomy, and evolving requirements.
  • Proven ability to extract requirements, diagnose problems, and recommend solutions.
  • Strong communication skills and comfort working with both technical and non-technical stakeholders.
  • Strong business and product judgment, with comfort navigating ambiguity and managing competing priorities.
  • Demonstrated ability to synthesize inputs from various domains into actionable product/project plans and manage to a schedule.

What We Offer

  • Competitive salary commensurate with experience. This role is budgeted in the range of $80,000 - $100,000, DOE.
