Recruiting and Onboarding Coordinator (Contract)

Position Summary:

The Recruiting and Onboarding Coordinator supports the full recruitment and onboarding lifecycle, ensuring an efficient and positive experience for all candidates and new hires. The role manages administrative tasks, scheduling, and documentation within the Applicant Tracking System (Greenhouse) and the Human Capital Management platform (UKG). This is a six-month contract with potential for full-time conversion based on business needs.

Position Responsibilities:

  • Serve as the main contact for candidates during onboarding, providing timely updates and information.
  • Post and update job descriptions on various job boards and the company career page.
  • Maintain accurate candidate data in Greenhouse for real-time tracking.
  • Manage communication with applicants and hiring teams, including onboarding confirmations and candidate logistics.
  • Coordinate pre-employment and onboarding paperwork completion through UKG and Greenhouse systems.
  • Collaborate with hiring manager and other departments to prepare necessary equipment, software access, and workspace for new hires.
  • Act as a resource for new hires on company policies and procedures.
  • Ensure compliance with company policies and legal regulations in recruiting and onboarding.
  • Generate reports on recruiting and onboarding metrics from Greenhouse and UKG.
  • Assist in special projects to improve recruitment and onboarding experience.
  • Maintain documentation related to HR policies and procedures.
  • Adhere to the Capital Rx Code of Conduct including noncompliance reporting.

Minimum Qualifications:

  • 1–3 years experience in HR or administrative support, recruitment preferred.
  • Proficiency with Applicant Tracking Systems (ATS), specifically Greenhouse, and HRIS platforms like UKG.
  • Excellent organizational skills and attention to detail.
  • Strong time-management and prioritization in a fast-paced environment.
  • Ability to handle sensitive information with discretion.

Preferred Qualifications:

  • Bachelor’s degree or equivalent preferred.
